Note: This weekly post serves to answer questions submitted via InfoTech Tuesday and K-State’s Zimbra website; update the K-State community with new project information; and detail Zimbra features.

What are the Documents and Briefcase features?

The Zimbra Briefcase provides a place to store important files, so they can be accessed anytime, anywhere — including word processing documents, spreadsheets, and pictures.

  • Briefcase folders contain files and can be shared with individuals.  If you share a folder, the entire folder is shared.
  • Each folder can have different options applied for sharing, such as read-only, password-protected, and allowing others to edit the contents of a folder.
  • The contents of a folder can be easily sent individually by e-mail if desired.

With Zimbra Documents, you can create and upload documents, tables, images, and spreadsheets to allow for wiki-style collaborative editing.

  • Instead of e-mailing a draft document, all editing can be done in one central location.  The history tool lets you easily reject unwanted edits.
  • Documents can also be shared with others at a folder level, with multiple levels of access possible.

Items in both the Briefcase and Documents count toward your total allowed Inbox size of 6 gigabytes.
